At Barefoot Coaching & Counselling, we are committed to providing a safe, supportive, and professional environment for all clients. Our Terms & Conditions are designed to help create clear expectations around appointments, payments, confidentiality, and the services we provide. By booking an appointment with Barefoot Coaching & Counselling, you acknowledge and agree to the following terms and policies.

1. Introduction

These Terms & Conditions outline the way services are provided by Barefoot Coaching & Counselling. By booking or attending a session, you agree to the terms below. These are in place to ensure clarity, safety, and a respectful therapeutic relationship.

2. Services Provided

Barefoot Coaching & Counselling offers counselling, psychology, life coaching, and complementary therapeutic services. Sessions may include a combination of approaches such as ACT, mindfulness, EFT, and other evidence-informed modalities tailored to individual client needs.

Services are designed to support emotional wellbeing, personal development, and performance enhancement. They are not a substitute for emergency medical or psychiatric care.

3. Client Responsibility

Clients are responsible for:

  • Providing accurate personal and health information

  • Attending sessions on time and in a suitable environment (for online sessions)

  • Engaging in the process to the best of their ability

  • Seeking additional medical or emergency support where required

4. Appointments

Appointments can be made via email, phone, or online booking (if applicable). Session duration, format (in-person/online), and frequency will be agreed upon at the time of booking.

5. Cancellation & Rescheduling Policy

  • A minimum of 24 hours notice is required for cancellations or rescheduling appointments, with 48 hours notice preferred where possible

  • Late cancellations or non-attendance may incur a full or partial session fee

  • This policy exists to respect both client time and appointment availability for others

6. Fees & Payment

  • Session fees are agreed upon prior to booking

  • Payment is required at the time of your session unless otherwise arranged

  • Accepted payment methods may include bank transfer, card, or other agreed options

  • Fees are subject to change with reasonable notice

7. Medicare Rebates (Important Section)

Jo Ryan is a Registered Psychologist, and eligible clients may be able to claim a Medicare rebate if referred under a Mental Health Care Plan (MHCP) provided by a GP.

To access Medicare rebates:

  • A GP must assess eligibility and provide a valid Mental Health Care Plan

  • A referral letter must be provided to Barefoot Coaching & Counselling

  • Medicare rebates apply only to eligible psychology sessions, not coaching services

  • Clients are responsible for payment of the full session fee at the time of their appointment. Once payment has been received, Jo will process your Medicare rebate on your behalf

Please note:

  • Coaching sessions are not covered by Medicare

  • Medicare eligibility is determined by your GP and Medicare guidelines

8. Private Health Insurance

Some clients may be eligible for rebates through private health insurance depending on their level of cover and provider. It is the client’s responsibility to check with their insurer.

9. Confidentiality

All client information is treated with strict confidentiality. Information will only be shared:

  • With client consent

  • Where legally required (e.g. risk of harm, court order, mandatory reporting obligations)

  • In accordance with professional ethical and legal standards

10. Professional Boundaries

Sessions are conducted within clear professional boundaries to ensure a safe and ethical therapeutic environment. Dual relationships (e.g. personal/social connections) are avoided where possible to maintain professional integrity.

 

11. Limitations of Service

While every effort is made to support client wellbeing, outcomes cannot be guaranteed. Progress depends on individual circumstances, engagement, and external factors.

Clients are encouraged to seek additional support if needed (e.g. GP, psychiatrist, emergency services).

 

12. Crisis & Emergency Support

Barefoot Coaching & Counselling is not a crisis service.

If you are in immediate danger or require urgent support, please contact:

  • Emergency Services (000 in Australia)

  • Lifeline 13 11 14

  • Local hospital or crisis support services

13. Privacy & Records

Client records are stored securely and handled in accordance with Australian privacy laws and professional ethical guidelines. Clients may request access to their records in writing.

14. Changes to Terms

These Terms & Conditions may be updated periodically. The most current version will always be available on the Barefoot Coaching & Counselling website.
